Communication Before Your Charter
We ask that our guests submit the crew list with dates and times of arrival and departure at least two weeks before the charter to allow the base to prepare and make the necessary arrangements and transfers if requested. The link to submit the crew list and arrival details is on your booking contract and can be filled in by one person, or in succession (one part of the group fills out their info, then using the same link the other part of the group may fill out their details). This information must be provided (or updated) no later than two weeks before your charter.
We must also have your sailing resume or credentials on file, please review the requirements for the BVI.
To further expedite the check-in process, please provide your shoe sizes for snorkeling fins.

Check-in
Before Boarding, a mandatory check-in takes place:
- The check-in includes both a Charter Briefing and a Boat Briefing to be held starting from 4:00 pm on the day of the scheduled departure. (We try to accommodate departures prior if possible once the briefing has been completed.)
- The skipper/captain must be present during the Charter Briefing and the Boat Briefing.
- During check-in, we will also remit to you: your cruising permits, chart, phone, and cruising guide, all of which must be returned to the office at check-out.
If you arrive at boarding time (12 pm): We welcome the head charterer (one person) to go to the office for documentation and check-in. All other guests are welcome to the dock area where the boat will be waiting.
If you arrive early: Welcome to Nanny Cay Marina! Enjoy the cafés, restaurants, shops, pool, and beach until boarding. Please let us know if you have arrived so we can inform you if your boat is available earlier than the scheduled check-in at 12 pm.
Leaving the Dock
Unless previously approved by the base, no charter will be allowed to leave the dock after 6 pm (18:00) regardless of the charter contract dates.
For safety reasons, please let us know if you plan to spend your first night aboard your vessel.
Arrival After Hours
If you arrive after hours (from 5 pm on), please contact the base beforehand so they can make sure your boat is open. The taxi driver (if you pre-booked your transfer) will take you to the boat.
Checkout
Checkout must be completed by 12 pm on the last day of your charter.
By that time, guests and their luggage will have departed the boat and returned it in broom clean condition, with dishes clean and put away and the fuel tank(s) filled.
Be sure to plan enough time to refuel your yacht; the fuel dock at Nanny Cay is open from 8 am to 5 pm. Should you need docking or refueling assistance upon your return to Nanny Cay, please contact our base staff.
Remember: before returning to the base, per the instructions you will receive during your check-in, the waste tank(s) will need to be emptied at sea. Failure to comply with these requirements will incur extra guest charges.
